Registration Information and Deadline

The earlybird registration deadline is February 13.   The final exhibit registration and payment deadline is February 27, 2026 unless we sell out first.   BOOTH SPACE WILL NOT BE RESERVED UNTIL PAYMENT IS RECEIVED.

To maximize space in the exhibit hall, we will now provide tabletop booths. If you need more than one table, you must purchase a large tabletop booth.

Standard tabletop booths come with: one table, two chairs, AND ONE MEAL TICKET.    Electricity and additional meal tickets are extra costs. All space is available on a first come, first serve basis.  

We will do our best to accommodate you, but space will be given to sponsors first, then first come first serve. The diagram may have to be adjusted to accommodate the number of corporate sponsors.  BOOTH SPACE WILL NOT BE RESERVED UNTIL PAYMENT IS RECEIVED.

Conference Booth Options (before Feb. 13)

Price increases by $300 on Feb. 14

Standard Tabletop Booth $1000
Standard tabletop booths come with: one table, two chairs, AND ONE MEAL TICKET.   If you need more than one table, you must purchase a large tabletop booth. 

Large Tabletop Booth $1400
Large tabletop booths come with: two 6' tables, four chairs, AND ONE MEAL TICKET.  

Vehicle Space $1200
Vehicle spaces are located outside the conference facility. These spaces are limited and will be assigned on a first come first serve basis. A standard tabletop booth with one 6' table is included in the vendor area with ONE MEAL TICKET.

Additional Options:

  • Electrical Outlet(s) $120 each
  • Additional Meal Tickets $65 each
  • Additional Vehicle Spot - if available - $200 each

Conference Sponsor Options

Each conference will have limited sponsor availability. Sponsorships will be awarded on a first come first serve basis. Corporate sponsors will receive premium exhibitor locations and will be assigned first.

Exhibitor Deadlines

To meet the early registration deadline, your online registration must be received on or before Feb. 13. The final exhibit registration and payment deadline is February 27, 2026. Your payment must be received by February 27, 2026 or there will not be a space for you. The conference committee cannot guarantee accommodations after the final deadline, and after that date you won’t be in the conference program.

Exhibit Booth Cancellation/Refund Policy

Refunds (less a $100 processing fee) will be made for exhibit registration cancellations made in writing to Cathy White, GEMSA Operations Chief more than 30 days before the conference. If it is within 30 days of the conference, no refunds will be given.

Exhibitor Schedule/Check-in

When checking in, you will receive your name tag(s), meal ticket(s) if purchased, and a conference packet. A member from GEMSA will assist in directing you to your assigned booth area and will make sure you have everything you need. The Exhibit Area will be located in a secure room that will be locked when the vendor area is not open.

10 am - 1 pm - Exhibitor setup (You must be setup and ready to go at 1 pm.)
1:15 pm - Exhibit Hall Grand Opening & Exhibitor Showcase
3:00-3:30 pm - Break
4:30-5:00 pm - Break
5:00 pm - Exhibit Hall Closes for the day

Thursday, March 19, 2026

7:30 am - 4:15 pm - Exhibit Hall Open
Breakfast and attendee breaks will be in the exhibit hall throughout the day.

4:15 pm  - Exhibit Hall Closes and breakdown begins

Note: We expect you to stay until 4:15 pm on Thursday unless you make prior arrangements with us.

Shipping Details

To ship items to the GEMSA Directors & Leadership Conference, please ship them directly to the hotel to arrive no earlier than Monday, March 16, 2026. Please include the following on your shipping label:

Name Badges

Name badges will only be provided for booth personnel up to a maximum of four people. Others may work your booth, but we will not provide name badges for them.  We will print these once you check-in at the conference.

Continuing Education Hours

Continuing education will not be provided for exhibitors. If you would like continuing education hours, you must register as an attendee for the conference. We apologize for any inconvenience.

Donations for Give-a-ways

Each year exhibitors like to donate items to be given away during the conference. Please collect names or contact information at your booth. On the last afternoon of the conference, we will let you draw a winner and help you announce it if needed. See GEMSA staff at the conference to schedule your drawing.
