Registration Information and Deadline

The final exhibit registration and payment deadline is February 26, 2027 unless we sell out first.  New earlybird, standard and late booth pricing has been implemented this year. Reserve and pay early to get the best price!  BOOTH SPACE WILL NOT BE RESERVED UNTIL PAYMENT IS RECEIVED.

To maximize space in the exhibit hall, we will now provide tabletop booths. If you need more than one table, you must purchase a large tabletop booth.

We will do our best to accommodate you, but space will be given to sponsors first, then first come first serve. The diagram may have to be adjusted to accommodate the number of corporate sponsors.  BOOTH SPACE WILL NOT BE RESERVED UNTIL PAYMENT IS RECEIVED.

Standard Tabletop Booth

Rates:

  • Earlybird: $1000 (Deadline: 12/31/26)
  • Standard: $1150 (Deadline: 2/1/27)
  • Late: $1400 (Deadline: 2/26/27)

Includes:

  • One 6' table, two chairs, wastebasket
  • One meal ticket

If you need more than one table, you need to reserve a large booth.

Large Tabletop Booth

Rates:

  • Earlybird: $1800 (Deadline: 12/31/26)
  • Standard: $1950 (Deadline: 2/1/27)
  • Late: $2200 (Deadline: 2/26/27)

Standard Booth & Vehicle Space

Rates:

  • Earlybird: $1800 (Deadline: 12/31/26)

Vehicle spaces are located outside the conference facility. These spaces are limited and will be assigned on a first come first serve basis. 

Additional Options:

  • Additional Meal Tickets $65 each
  • Additional Vehicle Spot - if available - $800 each

Exhibit Booth Cancellation/Refund Policy

Refunds (less a $100 processing fee) will be made for exhibit registration cancellations made in writing to Cathy White, GEMSA Operations Chief more than 30 days before the conference. If it is within 30 days of the conference, no refunds will be given.

Exhibitor Deadlines

To meet the early registration deadline, your online registration must be received on or before Dec. 31. Standard rates apply from Jan. 1-Feb. 1, 2027. The final exhibit registration and payment deadline is February 26, 2027. Your payment must be received by February 26, 2027 or there will not be a space for you. The conference committee cannot guarantee accommodations after the final deadline, and after that date you won’t be in the conference program.

Exhibitor Schedule/Check-in

When checking in, you will receive your name tag(s), meal ticket(s) if purchased, and a conference packet. A member from GEMSA will assist in directing you to your assigned booth area and will make sure you have everything you need. The Exhibit Area will be located in a secure room that will be locked when the vendor area is not open.

Wednesday, March 17, 2027

  • 7-10 am - Exhibitor setup (You must be setup and ready to go at 10 am)
  • 10 am - Exhibit Hall Opens
  • 1:15 pm - Exhibitor Showcase
  • 3:00-3:30 pm - Break
  • 4:30-5:00 pm - Break
  • 5:00 pm - Exhibit Hall Closes for the day

Thursday, March 18, 2027

7:30 am - 2:30 pm - Exhibit Hall Open
Breakfast and attendee breaks will be in the exhibit hall throughout the day.

2:30 pm  - Exhibit Hall Closes and breakdown begins

Note: We expect you to stay until 2:30 pm on Thursday unless you make prior arrangements with us.

Shipping Details

To ship items to the GEMSA Directors & Leadership Conference, please ship them directly to the hotel to arrive no earlier than Monday, March 15, 2027. Please include the following on your shipping label:

Name Badges

Feel free to bring your own name badge!  Otherwise, printed name badges will only be provided for booth personnel up to a maximum of four people. Others may work your booth, but we will not provide name badges for them.  We will print these once you check-in at the conference.

Continuing Education Hours

Continuing education will not be provided for exhibitors. If you would like continuing education hours, you must register as an attendee for the conference. We apologize for any inconvenience.
